Job Summary The Site Administrative Assistant will provide office-related administrative and operational support and services to the Site Director and senior staff. Work with confidential information, prepare reports and presentations, manage schedules, calendars and travel arrangements, plan and coordinate events, maintain the office and assist with special projects as directed. Key Responsibilities and Duties: • Provide general administrative support to Site and Site Management including but not limited to managing calendars, preparing correspondence, reports, presentations, and miscellaneous projects for Site Management and other staff as required, with the need to be flexible based upon site needs • Schedule travel arrangements, complete expense reports and plan, arrange and organize site meetings and events • Answer questions and provide assistance related to office operations and established policies and procedures • Arrange and conduct various types of meetings and take meeting minutes for the Site Management Team • Greet visitors, schedule conference rooms, order office supplies and coordinate shipping • Support Corporate Social Responsibility and Engagement activities at the site including communicating events, take photos, and post on internal social media • Assist with security badge assignments for the site • Assist with organizing the site-wide team building and celebratory activities • Assist in special projects by supporting various committee meetings and miscellaneous site projects • Serve as a liaison with site management and corporate departments in various initiatives and on-going projects • Manage local office purchases, accounts payables and own reception functions • Exhibit excellent project management, verbal and written communication, organizational, problem solving, and multi-tasking skills • Be flexible, detail and deadline oriented and a self-starter • Ensure accurate, high-quality work, and adherence to pertinent departmental policies, practices, and procedures • Maintain appearance of common areas • Perform all other related duties as assigned Job Qualifications • Education: Associate degree (A.A/AS.) or equivalent from two-year college required • Experience: 7 years of related experience with previous project supervisory experience preferred • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above • Demonstrated skills with Microsoft Office, creating presentations, spreadsheets and data base applications required • Must regularly communicate with employees/clients; must be able to exchange accurate information • Maintain a professional demeanor and appearance The pay range for this position is $79,000 - $87,000. Please note that salaries vary within the range based on factors including, but not limited to, experience, skills, education, certifications, and location.
